Who we are
Dice Party is operated by Fun Side LLC (dba ALXPCK, SKP Media). This policy supplements the Fun Side LLC Privacy Policy and explains how we handle data for the Dice Party Discord bot, web application, APIs, and related services.
Data we collect
- Discord account data. When you log in via Discord we receive your Discord ID, username, avatar hash, and guild information needed to link the bot to your server.
- Session + recording metadata. We log guild IDs, channel IDs, participant Discord IDs, timestamps, and command metadata to deliver recordings, transcripts, and notes.
- Audio & transcripts. Dice Party stores per-speaker audio files on DigitalOcean Spaces and generates transcripts with AssemblyAI (some older recordings were transcribed with Deepgram). Audio is kept as long as we need it to generate your transcripts and notes, and until you ask us to delete it — see “Data retention” below.
- AI-generated notes, campaign notes & memory. We send transcript text to AI partners like Anthropic to build session summaries, and we derive campaign notes and an ongoing campaign memory — durable narrative derivatives of your sessions’ story — from those transcripts. The models’ usage statistics (duration, token counts) are recorded for billing and product analytics.
- Billing info. When billing launches we will collect basic customer details (name, email, Discord server, plan) and rely on Stripe to handle payment instruments. Beta testers who receive manual invoices may provide similar information via email or Discord.
- Support + activity logs. To keep systems secure we log webhook activity, API calls, job runs, and admin actions (including IP addresses) for troubleshooting.
How we use data
- Provide the service. Audio, transcripts, and notes are processed so you can replay or review sessions, trigger AI notes, and deliver summaries back to Discord.
- Improve reliability. Usage metrics help us tune our job queues, catch bugs, and plan storage capacity on DigitalOcean Spaces.
- Communicate with you. We may send Discord DMs or emails about beta updates, incidents, or new features (you can opt out).
- Billing & compliance. Usage data feeds into cost tracking and, when billing launches, Stripe invoices. We may also retain information required by law.
Third-party processors
We share limited data with a small set of trusted partners:
- Discord for authentication, slash commands, and message delivery.
- DigitalOcean for hosting and storage (Spaces, our droplets, and managed Postgres).
- AssemblyAI for automatic speech recognition. Deepgram was used for some older recordings.
- AI partners like Anthropic for AI notes, campaign notes, and campaign memory.
- Stripe for payment processing (future general availability).
- Sentry for error monitoring — it receives technical error reports that can include account identifiers.
Each partner receives only the data required to perform their role, and they are contractually obligated to safeguard it.
We also run our own infrastructure — task queues (Celery/Valkey/Redis) and our Postgres database — on the DigitalOcean hosting above. That’s us, not an outside company handling your data.
Data retention
We keep the fiction, not the people. Your session recordings are the most personal thing we hold, so if you ever want them gone, email us at privacy@funsidellc.com and we’ll delete your audio and remove you from the transcripts and campaign notes within 30 days — and we’ll ask the services that help us (transcription, AI, and storage) to do the same.
We’re a small beta, so deletion is handled by a real human rather than a button today; that just means it may take a few days, not that we’ll forget. Metadata needed for billing or auditing may be retained but will be anonymized where possible.
privacy@funsidellc.comSecurity
Dice Party uses encryption in transit, per-user recording directories, and access controls enforced through Postgres, Spaces IAM policies, and strict API keys. No security program is perfect, so please keep your Discord access tokens secret and let us know if you suspect unauthorized activity.
Your rights
You have the same rights described in the Fun Side LLC Privacy Policy: access, correction, deletion, restriction, portability, objection, and withdrawal of consent. Just email us at privacy@funsidellc.com and we’ll take care of it within 30 days. Deletion is the same request-based path described in “Data retention” — a real human on our side, not a self-serve button, so give us a few days.
A note on shared tables: when one player asks to be removed, we remove their identifiers and their parts, but the rest of the table’s story stays theirs. We don’t erase everyone else’s campaign to honor one person’s request.
privacy@funsidellc.comInternational transfers
Our infrastructure runs in U.S. regions provided by DigitalOcean. By using Dice Party you consent to transferring your information to the United States and to any other country where our partners operate, subject to appropriate safeguards.
Children
Dice Party is intended for adults running tabletop games. We do not knowingly collect personal data from children under 13 (or under the minimum age in your jurisdiction). If you believe a child has provided personal data, please contact us so we can remove it.
Updates
We may update this policy as we launch new features or update vendor relationships. When changes are significant we will announce them via Discord or email. The “Effective” date at the top of this page reflects the latest version.
